Monthly and quarterly work · planned workflow

Recurring bookkeeping requests without a new email chase each month

Recurring bookkeeping requests help a firm resolve the few missing records or explanations that block a monthly or quarterly close. Apraxo’s plan links each request to the client and the related work so the team can see what remains open this period.

The problem

Ask about the exact period and item.

A recurring email saying “send the missing statements” leaves the client guessing which period or account is involved. It also leaves the bookkeeper checking the inbox for a reply. The planned request names the item and keeps its response with the period’s job.

How the planned flow works

From request to review

01

Start the period’s work

The planned Tax & Accounting pack includes a monthly bookkeeping pipeline. The firm can begin with a reusable information-request pattern, then change it for the client and period.

02

Ask the exact question

A request can name the missing bank statement, transaction, receipt, or confirmation. Planned reminders follow the open request rather than a separate email chain.

03

Resolve and continue

The bookkeeper reviews the reply, asks for a correction if needed, and keeps the answer attached to the client’s related work.

Example request

A sample month-end information request

A bookkeeping team might ask the client to:

  • Upload a missing bank or credit-card statement
  • Explain an uncategorized transaction
  • Provide a receipt for a specific purchase
  • Confirm whether an expected invoice was paid
  • Answer a question about a payroll or owner transaction

A working example

June bookkeeping close

Illustrative open-items view. This example shows how a firm could distinguish a document that has arrived from one it has actually reviewed.

The scenario illustrates a request-and-review process. Apraxo’s first pilot will confirm which recurring-job and reminder behavior is ready before a firm depends on it.

ILLUSTRATIVE REQUESTJune bookkeeping close
  • June credit-card statementUploaded; needs staff review
    Review
  • Receipt for a purchaseRequested for a named transaction
    Missing
  • Owner transferClient explanation received
    Received
  • Invoice paymentClient needs to confirm the date
    Question
CLIENT VIEW

The client sees the specific receipt and payment question still awaiting them rather than a vague request for “everything outstanding.”

FIRM VIEW

The bookkeeper can review the statement, use the owner-transfer explanation, and keep the two unresolved items open against June’s work.

The handoff

Keep the answer with the period’s work.

Apraxo’s planned Tax & Accounting pack includes a monthly bookkeeping pipeline. A request can be connected to that work so the team sees which client item is holding up the close. Apraxo does not replace the firm’s accounting ledger.

Pilot scope

A clear view of what is planned.

This is a later workflow within the tax and accounting product direction, not a promise that monthly automation is live in the first pilot. We are gathering interest from firms whose intake and recurring requests share the same bottlenecks.

Questions firms ask

Before you join

Will reminders go out automatically?

Configurable reminders are in the stage-one product requirements, but the pilot workflow is still being built. We will demonstrate the actual behavior before a firm relies on it.

Can the request repeat every month?

Recurring jobs and reusable requests are part of the product plan. Timing and exact pilot scope will be confirmed with participating firms.

Does this replace QuickBooks or Xero?

No. This use case concerns collecting explanations and files around bookkeeping work, not maintaining the accounting ledger.
